Delegate Responsibilities

When attending United Fire Brigades' Association (UFBA) events you are not only representing the UFBA but also Fire and Emergency New Zealand and your Brigade. We expect professional conduct when attending our events. Inappropriate conduct will be taken very seriously.

Please remember that drinking in uniform in public OR in restaurants and bars is prohibited, this includes your hotel bar. We have a cash bar at our social functions, and under no circumstance is additional alcohol or food from outside the venue to be brought into our function venues, as this is against our contractual obligations.

Privacy Statement

The registration information collected by the United Fire Brigades' Association (UFBA) will be used for delivering and reporting on AGM and Conference and may be kept for historical records. I understand that my contact details will be shared with Gilpin Travel to organise accommodation, flights (if necessary) and transfers. I understand my registration information will be shared directly with Fire and Emergency New Zealand for reporting purposes. I understand that my information will be kept for historical purposes. This information will be securely, digitally stored and will not be shared with Third Parties.

Our events may contain photography and videography which may include you. By registering, you acknowledge this and will give consent to your image being used for future marketing and communication collateral by the UFBA. I understand that photos/videos will be taken throughout the AGM & Conference Hui and may be used for promotional purposes.

You should always choose the most cost-effective means of travel for you. To assist in keeping costs down please consider car share if others from your area are heading to conference. Car parking is limited at the venue and hotels.

If you are driving, you are entitled to a return mileage reimbursement which is calculated from the centre of your town to the centre of Auckland. Refer to Google Maps. If you choose to drive but flying is more cost effective, you will only be reimbursed the equivalent of a seat plus bag fare.

Hotel parking is limited in Auckland, and booking in advance is recommended. Parking will be reimbursed up to $25.00 per day. Please ensure you include your GST receipt with your expense claim.

Airport transfers will be automatically arranged for those booking through Gilpin Travel and who are travelling on the recommended dates. Those travelling outside of these dates must make their own transport arrangements. Partner transfers, if required, must be selected below.

WHAT YOU ARE ENTITLED TO:

If you live more than 25km away from the UFBA AGM & Conference Hui venue: Two nights of funded accommodation at the UFBA selected accommodation properties. If you require additional accommodation, a formal written request should be submitted to the UFBA Events Team for approval. Applications will be considered on a case by case basis.

If you live within 25km of the UFBA AGM & Conference Hui venue: Accommodation is not funded. You will have the option of booking at the UFBA selected accommodation properties on a self-funded basis.

Gilpin Travel will allocate rooms for delegates and funded guests based on requirements, entitlements as above and arrival times.

IMPORTANT NOTE: If you intend to twin share your accommodation, please book one room for the FUNDED traveller and note who you would like to share with. When the second person registers, please select ‘no accommodation required’ but note who you would like to share with. Ensure that your coperson has agreed to share.

Terms and Conditions

Refer to the registration pack for standard terms and conditions. Submitting your registration indicates that you accept these terms and conditions and agree to adhere to them. CANCELLATIONS Should you need to cancel your booking for any reason, all fees associated with your registration will be retained. You will also be billed for any flights and accommodation booking made your behalf, unless written evidence is provided of poor health or extenuating circumstances that prohibit you from attending. CHANGES Changes to your registration after the closing date will incur a fee of $50. No changes are permitted for flights that have been confirmed, and the full fare will be on-charged to you. In the event of government-ordered restrictions and requirements, leading to the cancellation of the in-person AGM and/or conference, all registration fees and additional ticket purchases will be refunded to registered attendees. We reserve the right to cancel the conference if required to do so under orders from the Government. If the conference proceeds with either reduced numbers or with some attendees unable to attend due restrictions, we will offer those affected a full refund of registration fees and additional ticket purchases. In the case of cancellation for any reason the UFBA funded delegates flights will be held in credit for the use of UFBA business only. All Delegates who book their flights/accommodation through Gilpin Travel will be doing this at their own risk and will be subject to current Air NZ/accommodation provider policy. Refer to the registration pack for standard Terms and Conditions. Submitting your registration indicates that you accept these Terms and Conditions and agree to adhere to them. HOTEL PARKING Hotel parking is limited in Auckland and may be reimbursed up to $25.00 per day. Prebooking your carpark is recommended. A GST receipt will need to be included with your expense claim.
