Competitor Responsibilities

When attending United Fire Brigades' Association (UFBA) challenges and events, you are not only representing the UFBA but also Fire and Emergency New Zealand and your Brigade. We require professional conduct when attending these challenges and events. Inappropriate conduct will be taken very seriously and may result in disqualification from the challenge.

Please remember that drinking in uniform/PPE in public OR in restaurants and bars is also prohibited. This includes your hotel bar. The prizegiving venues takes cash and EFTPOS is also available. Under no circumstances is additional alcohol to be brought into the function venue, as this is against our contractual obligations.


Privacy Statement

The registration information collected by the United Fire Brigades' Association (UFBA) will be used for delivering and reporting on Challenge events and may be kept for historical records. I understand that my contact details will be shared with Gilpin Travel to organise accommodation, flights (if necessary) and transfers. I understand my registration information will be shared directly with Fire and Emergency New Zealand for reporting purposes. I understand that my information will be kept for historical purposes. This information will be securely, digitally stored and will not be shared with Third Parties.

Our challenges and events may contain photography and videography which may include you and your team. By registering, you acknowledge this and will give consent to your image being used for future marketing and communication collateral by the UFBA. Imagery and videos will never be used by or sold to Third Parties not directly involved in the business of the UFBA.

ACCOMMODATION

Funded competitors are funded for accommodation and reasonable travel costs in line with the distance allowances below. Accommodation is based on twin-share accommodation and three rooms will be automatically allocated when you register your team online.

Distances are calculated using https://www.google.co.nz/maps and are based on the distance from the centre of your town of origin to the Challenge venue.

You have the choice of booking extra nights or rooms on a self-funded basis. You will be invoiced for the extra costs, required to pay in advance and all standard booking terms and conditions will apply.

Please be courteous to our suppliers, if you have any issues with travel before or during the event, please contact either Gilpin Travel directly (if travel related), or the events team at the UFBA office to assist you.

At the accommodation provider the reception may / will ask for a credit card to cover any incidentals to your allocated room. You are responsible for settling anything against your room at check out time, this includes partner / supporter costs.

TRAVEL & TRANSFERS

The UFBA recommend that you drive to Challenges if this is the most cost-effective way of travel.

If you choose to drive when it is cheaper to fly, you will be reimbursed mileage to the value of a seat & bag fare purchase prior to the challenge event, not fares post event, as advised by Gilpin Travel. Where you choose to drive when flying is a better option and require additional night(s) accommodation, you will need to fund this yourself. This means the same UFBA secured accommodation rates cannot be guaranteed. The UFBA will use discretion to reimburse travel for the most cost-effective method of transport, regardless of how you choose to travel. Please do keep this in mind to avoid disappointment. 

It is assumed that you will have your own transport during a Challenge and therefore limited transfers will be available. If you have booked your own flight, please advise ufba@gilpin.co.nz to be included on the transfer list.

Refer to the registration pack and UFBA website for standard terms and conditions. Please note, this registration site may have updated terms and conditions that may differ from the printed material. Submitting your registration indicates that you accept these terms and conditions and agree to adhere to them. CANCELLATIONS Should you for any reason need to cancel your booking your registration fee will be retained, and you will be billed for any flights and accommodation bookings made on your behalf. Unless you can provide written evidence as to your poor health or extenuating circumstances that prohibit you from attending. Contracts with caterers and accommodation providers often cannot be cancelled without penalty, any costs may be passed on to the competitor. If you are not certain that you can attend, then do not register. CHANGES Changes to your registration after the closing date will incur a fee of $50. Flights are booked as non-refundable and by agreeing to the terms and conditions you acknowledge this. Any changes for flights that have been confirmed, will result in the full fare being on-charged to you.
